The Opportunity
Based entirely at our Wetherill Park office, you will be the heartbeat of our operations. This is a 100% in-office position that blends professional front-of-house management with technical construction administration. From the moment you welcome a new customer to the final coordination of an Occupation Certificate, you will drive the schedule and ensure a seamless journey for every family we build for. What You'll Be Doing
Front-of-House: Greet customers, trades, and suppliers with professionalism; manage incoming calls and ensuring the office and showroom is presented to a high standard.
Construction Administration: Manage administrative duties through to completion, including sending progress claims, working closely with site managers, and supporting supervisors with administrative tasks.
Compliance & Safety: Manage on-site OHS requirements and safety audits. Liaise with trades and suppliers to ensure all compliance certificates are received and confirm certifier inspections have been passed and saved in the system.
Contract Variation Management: Prepare contract variations for additional site costs or upgrades in construction as requested and meet with clients for final sign-off and document signing when required.
Project Compliance & Approvals: Manage the end-to-end lodgement of DA/CC/CDC, BYDA, HBCF, and utility applications; coordinate OC checklists and council compliance follow-up to obtain final OC permits.
Administration: Coordinate handovers and the 90-day maintenance period by booking tasks and liaising with owners and trades; enter invoices into Xero and check for accuracy; manage social media, general office admin, and the ordering of brochures, site fence wraps, and signage.
What You'll Bring
Construction Admin Experience: Proven experience in construction administration is essential. You must understand the residential build process from deposit to completion.
Technical Accuracy: A high level of detail to review construction invoices, audit certifier checklists, and ensure all site documentation and safety packs are accurate and up to date.
Organisational Excellence: The ability to implement procedures to enhance workflow efficiency, manage storage and site signage, and juggle multiple tasks.
Communication Skills: A professional manner used to assist clients with questions or concerns during the build, liaise with banks for funding approvals, and build strong relationships with our loyal trade and supplier network.
Tech Proficiency: Comfortable using Xero, Google Suite, and builder portals/CRM systems.
